- Voice Recordings: When you use the voice job entry feature, your speech is processed to convert it to text. Voice data is processed on-device using Google Speech Recognition and is not stored permanently.
- Photos and Videos: When you attach media to job entries, these files are uploaded to our secure cloud storage (IONOS HiDrive) and linked to vehicle records.
- Job Information: Details about vehicle preparation work, including job descriptions, timestamps, and completion status.
Automatically Collected Data
- Device Information: Basic device information for app functionality and troubleshooting.
- Location Data: When you use the GPS Parking Locator feature, we collect:
- GPS coordinates (latitude and longitude) to record where vehicles are parked
- Location accuracy information from your device
- Timestamp of when the location was captured
This location data is: – Used to track vehicle parking positions within your dealership premises; – Stored on our secure servers and associated with the vehicle record; – Shared with your dealership management for vehicle tracking purposes; – Retained as part of the parking history for operational records.
Location access is only used when you actively use the parking feature and requires your explicit permission. The app does not track your location in the background.

Permissions We Request
Camera Permission
We request camera access to allow you to:
- Take photos of vehicles to document work needed or completed
- Record videos showing vehicle conditions or issues
Camera access is only used when you explicitly choose to take a photo or video. We do not access your camera in the background.
Microphone Permission
We request microphone access to allow you to:
- Use voice-to-text for creating job entries
- Dictate job descriptions hands-free
Audio is processed in real-time for transcription and is not recorded or stored.
Storage Permission
We request storage access to allow you to:
- Select existing photos from your gallery to attach to jobs
- Save temporary files required for app functionality
Data Storage and Security
- Vehicle and job data is stored on secure vAutoStock servers
- Photos and videos are stored on IONOS HiDrive cloud storage with encryption
- Voice recordings are processed in real-time and not permanently stored
- We use industry-standard security measures to protect your data
Data Sharing
We do not sell your personal information. We may share data with:
- Service Providers: Third-party services that help us operate the app (cloud storage, speech recognition)
- Your Employer: As this is a workplace application, job and vehicle data is shared with your dealership
Data Retention
- Job records are retained as required for business operations
- Media files are retained until manually deleted or as per company policy
- Voice data is not retained after transcription

vAutoStock is a workplace application not intended for use by children under 16. We do not knowingly collect data from children.
